Why is my email not working?

There are several reasons your e-mail could be down. The following can be planned or unplanned causes of an outage:

  • Incorrect settings in Outlook or other email client
  • Email platform upgrade or migration
  • Data center or office move
  • Planned power outage
  • System maintenance
  • Required patch management
  • Disaster recovery testing
  • Connectivity losses
  • Server blacklisting

First, make sure your internet connectivity is working properly.

If your internet connection is OK, check your e-mail settings to make sure they are correct.

Then, take note of senders and recipients. Are you typing their email address correctly? Also, it can sometimes be the other person’s email server that is causing the problem.

If your settings are correct and there are no issues with the sender/recipient, then call the office for assistance. Please take note of any errors you receive. Copy / paste or write down any errors you are getting when you try to send an email. If applicable, ask anyone who is trying to send you an email to copy and paste any errors they receive when they try to send you an email. These are important for our technicians to be know so we can help solve your issue more quickly and efficiently.

What does it mean to be “blacklisted”?

Blacklists identify spammers. If you ever look at your junk or spam box, those are all senders who have been added to a blacklist. So, to be blacklisted means you have been ID’ed as a spammer and your outgoing emails will go straight into the recipient’s spam/junk mail box. Or,  some email you try to send may not be delivered at all.

You can check whether or not you are being blacklisted here: http://mxtoolbox.com/blacklists.aspx. If you don’t know your mail server’s address, start with a MX Lookup.  Or, just send an email to ping@mxtoolbox.com.

How can I prevent myself from being blacklisted?

  • Make sure passwords are secure, so nobody can login and send spam from your email account.
  • Require SMTP authentication and sender match authentication (Pitt Bull can make sure this is setup).
  • Be careful with mailing lists:
    • Only allow moderators to post to a list, unless the list is very small and/or very well managed.
    • Set mailing list email to lower priority.
    • Use third party mass mailing services such as Constant Contact instead.
  • Avoid sending large files such as high resolution images, PDFs and audio files. Use resources such as SendBigFiles instead.
